Information on the processing of personal data

INTRODUCTION

The Kersia Group attaches great importance to your privacy and to the manner in which your personal data is handled. For this reason, we would like to share with you the way we collect and process your data in the context of our artificial intelligence (hereinafter "AI") platform, AI Tools, as well as your rights with regard to the processing of your personal data and how you can exercise them.

Within the meaning of the regulations on the protection of personal data, Kersia International, a company that is part of Kersia Group, is qualified as the controller of personal data (hereinafter the "Data Controller").

REASONS FOR COLLECTING DATA

To process your data, we rely on legitimate interests: the processing is necessary for the purposes of the legitimate interests pursued by the Data Controller. In particular, we collect your data with regard to the interest that the Kersia group has in collecting it in order to be able to provide AI tools and limit the use of unauthorized AI. We also have an interest in collecting your data to ensure the security of the platform. In addition, we use necessary cookies to ensure smooth access to the platform.

PURPOSES OF COLLECTION

We use your personal data to achieve a specific purpose, i.e. we only collect your personal data for specified, explicit and legitimate purposes. Your collected data is used for the following purposes:

  • To manage your access to the platform;
  • To offer you content tailored to your preferences (language);
  • To help ensure the operation, security and safety of the platform.

DATA COLLECTED

We collect personal data about you directly from you, from other sources (including from the Controller's internal resources, such as the Group's global directory), or through cookies.

We limit the collection of your personal data to what is necessary for the purposes pursued. We collect the following data:

  • Identification data: the user's surname, first name, email address;
  • Data relating to professional life: position, company to which they belong
  • Connection data: chat language, request histories, computer, device and connection information, such as IP address, browser type and version, operating system, unique device identifier.

It is important that the personal data we hold about you is accurate and up to date. Please keep us informed if your personal data changes during your relationship with us.

Unless we are required by law or regulation to collect and store your personal data, you are free to provide all or part of your data. You are also free to object to their disclosure. However, any refusal on your part to supply this data, or to allow it to be shared, could impair the execution of the purposes previously described.

DATA RECIPIENTS AND TRANSFERS

In line with the purposes listed above, your personal data may be communicated by the Data Controller to certain departments of another company of the Kersia group. To ensure the security of your data, we have put in place standard contractual clauses with all the Group's subsidiaries.

In addition, given the international nature of the Kersia Group, we inform you that the personal data that we collect may be transferred outside of your territory, but always with the exclusive aim of fulfilling the purposes detailed above and in a secure manner with the implementation of appropriate safeguards.

RETENTION

We keep your personal data for a limited period of time. Your data will be deleted when you are no longer employed by Kersia. In addition, you have the option to delete your search history at any time.

The AI Tools platform is hosted on the Kersia Group's servers. As a result, your personal data is stored internally. Your personal data is kept in the safest and most secure way possible. With this in mind, appropriate measures, as described below, are implemented to prevent, as far as possible, any alteration, loss or unauthorised access to your data.

DATA SECURITY

Appropriate physical, technical and organisational security measures are implemented to protect the personal data you supply to us from destruction, loss, alteration, disclosure or unauthorised access. These measures are intended to ensure the integrity, confidentiality and availability of personal data.

The Kersia Group implements firewalls and antivirus software to ensure the security of our network and devices. In the same way, access control measures and rules relating to authorisation management have been established. Data encryption and data anonymization are also an option to strengthen the protection given to certain data.

COOKIES

To ensure the proper functioning of the Platform, we need to place small data files, called “cookies”, on our users' device.

A cookie is a small text file that websites store on your computer or mobile device when you visit them. It enables these sites to remember your actions and preferences (username, language, font size and other display settings, etc.) for a given time, so that you do not need to provide this information every time you visit these sites or navigate from one page to another.

The AI Tools Platform uses only necessary cookies from a third party. Indeed, Microsoft cookies are used to allow smooth access to the platform by you, a Kersia Group employee. Some allow us to verify that the user is indeed a member of Kersia and others allow the user to remain logged in without having to enter their login details each time they visit. You can manage, block or delete cookies as you wish, but be aware that you may then prevent certain elements of the site from functioning properly. Some services and features may not be available.

You can manage the way cookies are stored directly on your browser. In the settings relating to privacy protection and cookies, you have the possibility of administering cookies more precisely according to their origin. You can also configure your browser to prevent any cookies from being stored on your device (in which case you may have to indicate some of your preferences each time you visit a website/page).

Finally, you can delete any cookies that are already stored on your device by clearing your browser's browsing history.

NOTIFICATION OF PERSONAL DATA BREACHES

In the event of a breach or suspected breach of personal data that requires it, we undertake to notify the supervisory authority no later than 72 hours after becoming aware of it and, if necessary, to inform you.

RIGHT OF ACCESS AND RECTIFICATION OF THE DATA COLLECTED

In accordance with current data protection regulations, you have the right to confirm, access, modify, correct, transfer, anonymise, block, delete and refuse the usage of your personal data for legitimate reasons, request information on the public and private entities with whom we have shared your data and obtain information on the option of not giving your consent and on the consequences of refusal, as well as the right to withdraw your consent, when applicable.

RIGHT TO APPEAL

If you have a complaint about our use of your information, we would prefer you to contact us directly in the first instance. However, you have the right to lodge a complaint with a supervisory authority.
